The Position:

Adirondack Studios (ADKS) is actively searching for an Office Manager & Buyer for our growing Orlando, FL design and fabrication facility. The successful candidate will logistically and clerically manage the office and support communication between Orlando and our Argyle, NY global headquarters. Other duties include coordinating the facility’s IT and HR needs, overseeing guest hospitality and tours, serving as a notary, and purchasing all production required goods and services at the best possible price. This is a full time role working from the Orlando, FL office.

Office Manager & Buyer

  • Opening and Closing of the facility Monday through Friday 8:00 AM to 4:30 PM. At other times as required
  • Cover the front desk reception and receive incoming phone calls
  • Oversee ADK Studios hospitality including preparing for client visits, arranging accommodations, greeting visitors, ordering meals, etc.
  • Populate and Maintain Florida Outlook Calendar with staff schedules, basic FL shop production schedules, internal and external meetings, client visits and NY staff visits
  • Support our ADK FL IT needs. Communicate with FL Director of Operations, our IT Service Provider and IT department in New York in the event of an IT, phone or communication failure. See through to task completion
  • Support ADK FL Human Resources needs and requirements. File, maintain and secure all personnel records
  • Establish and maintain document filing; packing slips, equipment manuals and warranties, etc. as related to facility equipment
  • Serve as a notary for Florida needs (ADKS will assist in training and certification)
  • Generate and/or assist with Purchase Order Request for office and basic facility supplies. Monitor tracking information for all shipments and notify purchaser of ETA
  • Verify received orders are complete and in acceptable condition
  • Uploading files and scan and submit all receipts, invoices, and packing slips to Accounts Payable in a timely manner
  • Manage petty cash and company credit card as directed by accounting.
  • Distribute and record possession of company keys
  • Arrange shipping as required by Production and Project Administration
  • Generate all non-project related shipping documents including packing lists and Bill of Lading and Maintain shipping records
  • Order and maintain all kitchen, office, restroom and break room related supplies
  • Print and drawings or correspondence on request
  • Help maintain the appearance of the facility as per ADK Studios standards
  • Take and publish minutes from internal meetings on request
  • Purchase goods and services needed to support the operation of the organization, with a focus on the best possible price, quality, and delivery
  • Create an ADKS PO for each order and distribute as directed
  • Track orders and follow up purchases with vendors to ensure timely delivery
  • Strategize with Purchasing Agent on materials, quantities and possible cost savings
  • Maintain and strengthen relationships with company vendor representatives
  • Ensure all engineering documentation for raw materials is supplied with orders as well as request Safety Data Sheets (SDS) when required

  • Paid Vacation: 10 days of vacation annually.  After 3 years of employment, 1 day is added yearly to a total of 15 days of vacation annually.

This full time in office role will be stationed in Orlando Florida (20 minutes from the major theme parks and 5 minutes from Orlando International Airport). The pay range is $45 – $55K annually.
